Main purpose of the job: Provide administrative support for the Operations department.

Key performance areas
Review monthly inspections, and assessment reports. Purchase goods for maintenance or repairs within budgetary guidelines. Report any site/facilities issues to management as and when require d. Answer and address all incoming phone cals for maintenance requests.
Assist with Contractor documentation onsite including contractor induction forms and liability insurance. Send all outbound email communication to Suppliers in line with the mandate from the operations lead. Record rentals of sites operational and cost tracking.
Review fleet information to ensure that all important data has been filled. Review monthly billing for tracker and Wesbank.
Follow p on fleet reconciliation and report outstanding information. Review all security invoices and ensure that all service providers are paid. Assist in monitoring alarms, access controls and CCTV.
Work with the asset coordinator to ensure that all relevant forms completed. All loss reporting processes regarding assets are implemented, and investigation and follow up of losses and disposals.
Generate Referernce Numbers for Insurance based items with updated register and replacement value market quote-based pricing.
Ensure that all the lost and stolen forms for all the assets under Operations are submitted and filed. Liaise with Facilities Officer to integrate SHE requirements with the Operations portfolio. Safety File Request from all suppliers and or MSDS manuals.
Safety signage for workers in all aspects for carrying out risk prone hazardous work. Reinforce adherence of SHE requirements for contractors and suppliers. Implement remedial actions per respective hazard and risk identified. Pest Control servicing relevant policies and procedures implementation.
Report on sites OHS outcomes and attend to meetings and compile quarterly reports. PPE orders for staff safety and compliance according to LRA/DoL regulation requirements. Administer Overtime Approvals and Timesheets.
Supplier Motivation forms completion for onboarded suppliers. Maintain all current spreadsheets and records to always ensure data integrity.
Perform relevant administration i.e., filing, copying, scanning and any other ad hoc administration duties as assigned.
Insurance claims logging and follow up for Losses encountered at respective project sites. Setting up meetings, agendas, and minutes as and when required.
Take ownership and accountability for tasks and demonstrate effective self-management. Follow through to ensure that quality and productivity standards of own work are consistently and accurately maintained.
Maintain a positive attitude and respond openly to feedback.
Take ownership for driving own career by participating in ongoing training and development activities.
Required minimum education and training
Diploma or degree in Operations Management
Desirable additional education, work experience and personal abilities
Good organizational skills.
Must be pro-active, able to exercise discretion and independent decision-making. Able to prioritize own workload and meet deadlines. Assertive, confident, and adaptable.
Self-motivated, able to work independently and work as part of a diverse and multidisciplinary team. Must be proficient in MS Office (Excel, Word, and PowerPoint).
